INSTRUCTIONS FOR PARTICIPATION
I. GENERAL INFORMATION
- Opening Ceremony and Fashion Show: 8thDecember, 2019 at Dong Kinh Nghia Thuc Square
- Booths and Activities:
- Date: 11th– 15thDecember, 2019
- Venue: International Center Exhibition – 91 Tran Hung Dao Street, Hoan Kiem District, Hanoi
- Opening Ceremony: 7:00 pm – 9:30pm on 11thDecember, 2019
- Daily opening time: 9:00 am – 9:30 pm
II. RULES & REGULATIONS
- Register:
- The exhibitor must accurately state the name of the company and the product displayed on the Registration Form. The name of company will be printed on the board, the catalogue and other related documents for the purpose of promotion.
- Registration Form and Copy of Enterprise’s business registration certificate sent to the Organizer via post or e-mail. The exhibited products must be consistent with the product listed in the Registration Form, the Organizer reserves the right to refuse the exhibits displayed incorrectly of the registered products.
- Regulations on time:
- Hand – over of the booth/booked space:
- The Organizing Committee only hand – over the booth after exhibitor has paid the rent in accordance with the contract and certified by the Finance and Accounting Department.
- The Organizing Committee carries out procedures to hand – over the stall so that the enterprise can bring goods to display in the exhibition area on the following days:
- Standard booth: From 8:00 am on December 10th, 2019.
- Space: From 8:00 am on December 9th, 2019
- Daily construction time:
- 9th– 10thDecember: 8:00 am – 6:00 pm
- 11thDecember: 8:00 am – 3:00 pm
- Time to dismantle:
- From 10:00 pm on 15thDecember to 12:00 pm on 16thDecember, 2019.
Exhibitors wishing to perform construction outside of the prescribed hours, request to register under Form 1B and send to The Organizing Committee and pay construction fees overtime.
- NOTE: For booths with large and complex display products, they must be constructed in advance at the workshop, and when they are put into the showroom, only assemble and decorate.
- Show time:
- During the fair, businesses must have representatives at the booth to protect goods from 8:30 am and leave the booth after 9:30 pm every day for the security department to check and sealing exhibition halls.
- For exhibited goods, exhibitors wishing to take out of halls before 9:00 pm on December 15th, 2019 must have confirmation from The Organizing Committee.
- Regulations on booth and construct:
- Hand – over of the booth:
- Standard booth with an area of 9sqm (3m*3m) includes: White panels for board high 2.5m, Needle-punch carpet, 02 lights tube neon, 01 table, 02 chairs, Adhesive vinyl letters for exhibitor’s name and booth numbers on the fascia board, 01 outlet 13A/220V power and 1 trash.
- Exhibitors are not allowed to nail or use high – adhesive glue to the wall system, do not hang heavy objects on the forehead. If damaged or lost, they will be compensated for construction department.
- In addition to the equipment provided by the standard, exhibitors can rent additional equipment according to Form 2.
- Exhibitors must use exactly the leased area and will have to pay to the Organizing Committee the outstanding area.
- Exhibitors renting from 2 or more booths need a written request to build or not to install booths with registration. Changes in the booth (adhesive vinyl letters for exhibitor’s name and booth numbers on the fascia board, white panels for board…) will be a cost of dismantling if there is no written notice to the Organizing Committee before 6thDecember, 2019.
- In case the display is not in accordance with the area or affect the overall appearance of the exhibition area and the adjacent booths, the Organizing Committee will request to amend or disallow the implementation.
- Exhibitors must contact the warehouse to store their packaging and materials, absolutely not on the way and leave the area of the booth that has been rented.
- In addition to standard equipment that has been provided, exhibitors renting standard booths that need to use other electrical equipment must register with the Organizing Committee and pay according to the current price of the Organizing Committee according to Form 3.
- Absolutely not cooking, using electric stoves, gas stoves, welding and using fire – generating equipment in halls. In special cases, exhibitors must request and be accepted by the Organizing Committee.
- Regulations on construct:
- Exhibitors do not rent standard booth (rent space to set up special booths) to send their responsible personnel to receive the premises at the booth. The boundaries of the display areas of exhibitors are determined by the Organizing Committee.
- Only staging the booth in the allocated area. Stalls must not affect the adjoining space or obscure the façade of the opposite side.
- To ensure the overall art of the fair and the appropriateness for the technical infrastructure of the exhibitors, the exhibitors should submit to the Organizing Committee review and approval of the design of the exhibition area 15 days before construction. The Organizing Committee has the right to request a change of design if it affects the overall fair or does not guarantee safety.
- If you hire an outside contractor, you must send that contractor’s information (company name, address, phone and contact) and make sure that the contractors comply with the rules and regulations of I.C.E and commitment to self- responsibility for occupational safety during implementation. Register on Form 1A.
- In case of demand for overtime construction, the constructor shall register with the Organizing Committee (according to the form) and pay the overtime fee as regulations.
- Regulations on security:
- Exhibitors in the fair strictly follow regulations on security of the Organizing Committee during the fair.
- Recommend exhibitors to wear badge when entering and leaving the exhibition area. The Organizing Committee will take control of the badge of the staff of the booth when going in and out of the booth.
- The Organizing Committee is responsible for ensuring common security in the fairgrounds, protecting the common property of the fair and booths during the fair. The outdoor area is self- managed by exhibitors.
- Exhibitors manage and protect assets, goods of the booth during construction time and fair opening time.
- It is strictly forbidden to bring, use or display inflammable and explosive substances, environmental pollutants.
- Display areas using sound need to have appropriate volume without affecting other exhibitors.
- Regulations on environmental sanitation:
- The Organizing Committee is responsible for ensuring environmental hygiene in the common areas of the fairground, the stalls are responsible for maintaining general hygiene, putting waste into the designated place, not littering the road or common area. Exhibitors are responsible for ensuring hygiene in their display area.
- During the construction, the constructors are responsible for collecting and transporting waste from the exhibition. If violating the regulations, the constructors must pay according to regulations to the Organizing Committee to hire service provider to perform.
- Regulations on organizing events:
- Exhibitors wishing to organize activities such as conferences, seminars, trade promotion or other promotional activities require registration with the Organizing Committee (form). The costs associated with organizing these events are the responsibility of the exhibitors.
III. REGISTRATION FORMS
